Collaboration is at the heart of social media management. Rarely does a single person handle everything; teams work with designers, copywriters, managers, and clients, often juggling feedback from different directions. Without the right system, this back-and-forth can become messy and time-consuming.
This tutorial walks through how ContentStudio’s built-in collaboration and approval workflows help streamline the process. From assigning approvers to leaving private notes, every step is designed to keep your team aligned and your clients in the loop, without the clutter of endless emails or scattered chats.
When you finish creating a post in the Composer, you’ll find an option called Send for Approval right next to the schedule button. This feature allows you to assign approvers before a post goes live.
There are two flexible approval modes:
This flexibility lets you decide whether you need a quick check-in or a strict multi-step review process.
Once a post is sent for approval, it shifts into the Planner, where discussions stay neatly organized. Clicking on a scheduled post opens a discussion panel on the right-hand side. Here, teammates and clients can leave comments, tag others, and even attach files for context.
A standout feature is Internal Notes. These are visible only to your internal team, not to clients or external collaborators. It’s a safe space to exchange candid feedback or brainstorm without affecting the client's view.
Approvers can then directly Approve or Reject posts within this panel. Rejections require a short confirmation and can include feedback or attachments, ensuring transparency and accountability at every step.
Approvals aren’t limited to one view. In Feed View, you can preview a post exactly as it will appear once published and take action, approve, reject, or leave feedback.
If you’re managing multiple posts in a campaign, List View makes bulk actions possible. Select several posts at once and approve, reject, or send them all for approval together. This saves significant time for larger campaigns with heavy content loads.
Sometimes you need to show a draft post to someone outside your workspace, like a client who doesn’t need full access. Instead of sending screenshots, you can generate a shareable link. With one click, the recipient sees the post exactly as it will appear when published. This makes external reviews quick and professional.
From composing a post to gathering team feedback to managing bulk approvals, ContentStudio keeps the entire collaboration process in one place. Teams can work together, clients can review with ease, and nothing slips through the cracks.
By combining approval workflows, internal notes, external sharing, and multi-view management, collaboration becomes structured and stress-free. Whether you’re handling a single client or running large campaigns across multiple platforms, these features ensure your content goes live with the right input and confidence.
